Know Before You Book.

Every family deserves to know exactly what they are signing up for. This page covers payments, refunds, weather decisions, and how we communicate with you.

Payments

We accept payment through Pembee, our official booking platform. All major credit and debit cards including American Express are supported.

Some families pay through Zelle. Zelle payments are accepted but carry no platform refund protection. To make sure you are covered, book through Pembee whenever possible.

Every registration includes a $5 non-refundable processing fee. This covers platform and payment costs and is not waived for any reason.

Refunds

Promo Registrations

No refunds. No credits. No exceptions. Promotional sessions including free launch week sessions have no monetary value and cannot be refunded or credited under any circumstances.

In cases of genuine medical emergencies during a promo session, we may offer a goodwill credit at the club's sole discretion. This is not a right and cannot be requested.

Paid Registrations

7 or more days before your week: full refund minus the $5 processing fee.

2 to 6 days before your week: session credit minus the $5 processing fee. No cash refund.

Less than 48 hours before your week: no refund and no credit.

No-show with no notice: no refund and no credit.

Medical Withdrawals

Submit a doctor's note to info@medinaclubny.com within 48 hours of the first missed session. At least two unused paid sessions must remain. Credits are calculated at the daily rate minus the $5 fee. Credits never expire and cannot be exchanged for cash. Not available for promotional sessions.

Weather

Lightning and Thunder

At the first sound of thunder or sight of lightning, all activity stops immediately. We wait a full 30 minutes from the last thunder or lightning. Any new thunder or lightning resets the clock. No exceptions. Park shelters and trees are not safe.

Rain

Light drizzle with no lightning: we play through. Heavy rain or waterlogged field: session cancelled. We have no indoor backup. When it is cancelled, it is cancelled.

Extreme Heat

Heat index above 104 degrees or NYC Heat Emergency declared: session cancelled. Please send your child with at least 16oz of water per hour.

Weather Credits

Paid sessions receive a day credit per cancelled session. Promo sessions receive no credit. NYC Parks keeps the field permit fee regardless of weather. We absorb that cost so you can keep coming back.

How We Notify You

By 7:30 AM on the day: Email, Instagram Stories @medinaclubny, and Facebook Stories. Check before you leave home.

Cancelling Your Registration

All cancellation requests must be submitted in writing to info@medinaclubny.com. We do not accept verbal cancellations at the field.
