KNOW BEFORE YOU BOOK — FALL 2026

Every family deserves to know exactly what they are signing up for. This page covers registration, payments, refunds, weather decisions, season changes, and how we communicate with you. By registering, you agree to all policies on this page.

REGISTRATION

We offer single-session and single-season registrations only. We do not offer bundled multi-week discount packages of any kind.

PAYMENTS

We accept payment through Pembee, our official booking platform. All major credit and debit cards including American Express are supported.
Some families pay through Zelle. Zelle payments are accepted but carry no platform refund protection. To make sure you are covered, book through Pembee whenever possible.
Every registration includes a $5 non-refundable processing fee. This covers platform and payment costs and is not waived for any reason.
A $10 insurance fee applies to all first-time registrations, covering club registration and insurance costs. If not collected at checkout, it will be collected in person before your child's first session.

REFUNDS/PROMO REGISTRATIONS

No refunds. No credits. No exceptions. Promotional sessions including free trial sessions have no monetary value and cannot be refunded or credited under any circumstances.
In cases of genuine medical emergencies during a promo session, we may offer a goodwill credit at the club's sole discretion. This is not a right and cannot be requested.

PAID REGISTRATIONS

7 or more days before your session: full refund minus the $5 processing fee.
2 to 6 days before your session: session credit minus the $5 processing fee. No cash refund.
Less than 48 hours before your session: no refund and no credit.
No-show with no notice: no refund and no credit.

MEDICAL WITHDRAWALS

Submit a doctor's note to info@medinaclubny.com within 48 hours of the first missed session. At least two unused paid sessions must remain. Credits are calculated at the daily rate minus the $5 fee. Credits never expire and cannot be exchanged for cash. Not available for promotional sessions.

WEATHER: LIGHTNING AND THUNDER

At the first sound of thunder or sight of lightning, all activity stops immediately. We wait a full 30 minutes from the last thunder or lightning. Any new thunder or lightning resets the clock. No exceptions. Park shelters and trees are not safe.

RAIN

Light drizzle with no lightning: we play through. Heavy rain or an unsafe field: session cancelled. We have no indoor backup. When it is cancelled, it is cancelled.EXTREME HEAT
Heat index above 104 degrees or NYC Heat Emergency declared: session cancelled. Please send your child with at least 16oz of water per hour.

WEATHER CREDITS

Drop-in registrations receive a makeup class during the season for each session cancelled. Season pass registrations receive a credit toward any future Medina season. Promotional sessions receive no credit. NYC Parks keeps the field permit fee regardless of weather. We absorb that cost so you can keep coming back.

SEASON CANCELLATION BY MEDINA CLUB NY

On rare occasions, Medina Club NY may need to conclude a season earlier than originally scheduled due to unsafe field conditions, loss of field permit availability, insufficient enrollment, or other circumstances outside our control. In this event, registered families receive a credit toward a future Medina program equal to the value of unused sessions. Credits do not expire and are not transferable. Cash refunds are not issued in this situation. This is consistent with standard practice among NYC youth sports organizations; some programs offer no credit at all in this situation.

CANCELLATIONS

By 7:30 AM on the day: Email, WhatsApp community, Instagram Stories @medinaclubny, and Facebook Stories. Check before you leave home.CANCELLING YOUR REGISTRATION
All cancellation requests must be submitted in writing to info@medinaclubny.com. We do not accept verbal cancellations at the field.

POLICY FINALITY

This policy is agreed to at the time of registration and applies equally to every family. Medina Club NY is not able to make individual exceptions to these terms after registration is complete.
